IELTS Practice CMS vs. Spreadsheets: A Cost Comparison for Institutes

Most institutes don't choose spreadsheets — they inherit them. A teacher builds an answer key in Excel, a roster gets tracked in Google Sheets, and results are emailed around as PDFs. It works, until it doesn't, and by then it's load-bearing infrastructure nobody planned.

The direct cost is teacher time. Manually marking Reading and Listening answer sheets, then converting raw scores to bands off a printed conversion table, adds up across a batch of 30 students sitting a full mock every week. That is teacher time not spent teaching.

The harder cost to see is grading inconsistency. When two teachers grade Writing off the same rubric but from memory, their 6.5s and 7s drift apart — and a student who gets a stricter marker on a practice test loses confidence for reasons that have nothing to do with their English.

There is also a data-loss cost. A spreadsheet on one teacher's laptop is not a system of record. When that teacher leaves mid-term, so does the institute's only copy of the last three months of student performance history.

Finally, there is the sales cost. A prospective student comparing your institute to one running an authentic on-screen mock exam with instant results is comparing your institute to their actual exam day. A printed answer sheet, however well designed, reads as a step behind.
